IT for property managers

Reliable systems, reporting and security for firms that manage rental, commercial and mixed-use portfolios.

Technology for property managers

Property managers hold leases, rent rolls, trust funds and building records on behalf of owners. Their technology must keep that data accurate, protect tenant information and give owners timely reporting. ITRE advises property managers on the systems, security and records that sit behind the work. Reliable systems, reporting and security for firms that manage rental, commercial and mixed-use portfolios. We are an IT services and consulting firm, not a reseller, and our recommendations are independent of any vendor.

Where the pressure falls

  • Property-management software configured differently across buildings
  • Tenant personal information stored in several places
  • Owner reporting assembled by hand each month
  • Bank and accounting integrations failing without notice
  • After-hours emergency contact depending on a few individuals

Regulation and context

  • Residential Tenancy Act record requirements (BC)
  • PIPEDA and BC PIPA
  • Trust-account requirements for managed funds
  • Insurance and owner reporting obligations

We do not provide legal advice. We build the technical controls and evidence your lawyer or compliance officer specifies.

Systems commonly in use

  • Yardi
  • Buildium
  • AppFolio
  • QuickBooks
  • Microsoft 365

A programme, not a pile of products

For property managers we typically combine Brokerage Cybersecurity Audits, Developer & Builder Site IT, Microsoft 365 for Real Estate and Cloud for Brokerages. Taken together these form a coherent programme: protect the people and payments, standardise the devices and records, and report to leadership. You can begin with one service and add others as your team is ready.

An illustration

Example scenario: a regional property manager standardises report templates and user roles across its property-management platform. Month-end close shortens, and owners receive consistent statements. This is a composite example of the kind of work we do, not a named client. The pattern, however, is typical: a clear standard, a modest change, and a measurable reduction in exposure.

Regulatory context and pricing

Relevant obligations include Residential Tenancy Act record requirements (BC), PIPEDA and BC PIPA, Trust-account requirements for managed funds and Insurance and owner reporting obligations. We do not provide legal advice, but we build the technical controls your counsel or compliance officer requires. Pricing starts at $89 to $199 per user per month for managed IT, $2,500 for projects, $1,500 per month for advisory retainers and $1,900 for a security assessment, with 5% GST, a 10% launch discount and no lock-in.

The working toolset

The usual technology footprint for property managers includes Yardi, Buildium, AppFolio, QuickBooks and Microsoft 365. Our role is to make sure those systems are secured, backed up, integrated with one another and supported by people who know how they are used. We remain vendor-neutral and work with what you have.

Where property managers are exposed

Three themes recur when we review property managers: access that has grown without oversight, payments and documents that travel by email, and records that nobody can retrieve quickly. In practice that looks like property-management software configured differently across buildings, and tenant personal information stored in several places. The remedies are procedural as much as technical, and we implement both.
