IT for brokerages
Technology governance for managing brokers who answer for the conduct of every licensee in the office.
Technology for brokerages
A brokerage is a licensed firm in which the managing broker carries supervisory responsibility for agents, trust accounts and records. Its technology has to support that duty: controlled access, protected funds and records that can be produced on demand. ITRE advises brokerages on the systems, security and records that sit behind the work. Technology governance for managing brokers who answer for the conduct of every licensee in the office. We are an IT services and consulting firm, not a reseller, and our recommendations are independent of any vendor.
Where the pressure falls
- Agent-owned devices with no common security baseline
- Trust and commission records on unmanaged computers
- Departed agents who retain access to mail and files
- Email-driven payment instructions with no verification step
- Limited visibility into which systems hold client information
Regulation and context
- BCFSA licensing and Real Estate Services Act obligations
- FINTRAC record-keeping for reporting entities
- PIPEDA and BC PIPA
- CASL for electronic marketing
We do not provide legal advice. We build the technical controls and evidence your lawyer or compliance officer specifies.
Systems commonly in use
- Microsoft 365
- Follow Up Boss
- kvCORE
- Dotloop-class transaction tools
- Trust-accounting software
Where brokerages are exposed
Three themes recur when we review brokerages: access that has grown without oversight, payments and documents that travel by email, and records that nobody can retrieve quickly. In practice that looks like agent-owned devices with no common security baseline, and trust and commission records on unmanaged computers. The remedies are procedural as much as technical, and we implement both.
Compliance support and cost
Brokerages must keep in view BCFSA licensing and Real Estate Services Act obligations, FINTRAC record-keeping for reporting entities, PIPEDA and BC PIPA and CASL for electronic marketing. Our work supports those obligations with systems and evidence; interpretation remains with your lawyer or compliance officer. Starting prices are $89 to $199 per user per month, $2,500 for projects, $1,500 per month for senior advisory and $1,900 for an assessment, plus 5% GST, with a 10% launch discount for new clients.
An illustration
Example scenario: a mid-sized brokerage with forty licensees discovers during a routine review that a former agent still receives deal correspondence through an old forwarding rule. A managed offboarding workflow and mailbox audit close the gap, and the managing broker gains a standing report of who has access to what. This is a composite example of the kind of work we do, not a named client. The pattern, however, is typical: a clear standard, a modest change, and a measurable reduction in exposure.
A programme, not a pile of products
For brokerages we typically combine Developer & Builder Site IT, Wire-Fraud & BEC Protection, Backup & Disaster Recovery and VoIP for Real Estate Teams. Taken together these form a coherent programme: protect the people and payments, standardise the devices and records, and report to leadership. You can begin with one service and add others as your team is ready.
The working toolset
The usual technology footprint for brokerages includes Microsoft 365, Follow Up Boss, kvCORE, Dotloop-class transaction tools and Trust-accounting software. Our role is to make sure those systems are secured, backed up, integrated with one another and supported by people who know how they are used. We remain vendor-neutral and work with what you have.
